Customer Service Representative

JOB DESCRIPTION

SUMMARY

Responsible for assisting and communicating with customers, vendors, sales partners, and fellow employees in a courteous and professional manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING.  Other duties may be assigned.

  • Keys sales requisitions, bills of lading, and purchase orders relative to stock and direct orders. Includes processing invoices for receiving into inventory.  Matches applicable acknowledgements to orders & calls vendor with any discrepancies.
  • Responsible for all details relative to machine orders & enters them in the system (new, used, lease, rental, and special deals).
  • Coordinates with vendors and warehouse personnel for optimum delivery dates.
  • Receives phone calls, faxes & emails from sales partners, customers & vendors pertaining to orders.
  • Assists sales partners in sourcing new items or new vendors for existing items.
  • Assists in answering phones when necessary.
  • Assists in reviewing purchase advice report & takes appropriate action regarding stock purchasing.
  • Prepares orders for daily billing in an accurate and timely manner. 
  • Participates in reviewing the Billing Edit List once/week.  
  • Assists in monthly circling reports.
  • Obtains freight rates for sales partners as needed.  Determines best shipping method for materials.
  • Assists in verifying & signing off on outbound shipments from the API warehouse.
  • Processes credit card approvals/transactions for the Branch.
  • Provides assistance to other employees as need dictates and time permits.
  • Completes special projects assigned by the Branch Manager and Vice President of Sales.
