Administrative Assistant


Snelling Staffing is seeking an Administrative Assistant for a company in JTown. The Administrative Assistant is responsible for providing personal administrative support and assistance to executive staff which will enhance executive's effectiveness by providing information management support as well as representing the executives to others.

Duties & Responsibilities:

  • Provide support and communication for the organization’s staff.
  • Provide administrative support including travel for President/CEO, Deputy Director and Board of Directors.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserve both President/CEO and Deputy Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintain both President/CEO and Deputy Director’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Record, transcribe and distribute minutes of meetings.
  • Monitor, screen, respond to and distribute incoming communications.
  • Answer and manage incoming calls.
  • Receive and interact with incoming visitors.
  • Liaise with internal staff at all levels.
  • Interact with external clients.
  • Coordinate project-based work.
  • Review operating practices and implement improvements where necessary.
  • Perform other duties as assigned by the President/CEO and Deputy Director.

Education & Experience:

  • Bachelor’s degree preferred but not required.
  • 3 years’ experience providing support at a high level.
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
  • Knowledge of standard office administrative practices and procedures.
  • Excellent oral and written skills required.
  • Military preferred.

Licenses Required:

  • Must have and maintain a valid driver's license, maintain automobile insurance coverage and have access to an automobile.
