Job Summary
We are seeking a reliable and organized Office Assistant/Receptionist to provide temporary, on-call support as needed during busy periods in a dynamic office environment. This role involves managing front desk operations, handling administrative tasks, and delivering excellent customer service. The ideal candidate will possess strong computer skills, office management experience, and the ability to multitask efficiently. Bilingual abilities are a plus to serve diverse client needs. This position offers an opportunity to contribute to smooth office operations while gaining valuable administrative experience.
Responsibilities
Greet visitors and clients professionally at the front desk
Manage multi-line phone systems and direct calls appropriately
Schedule appointments and maintain calendars using Google Workspace or Microsoft Office tools
Perform data entry, filing, and document proofreading with high accuracy
Handle correspondence via email and phone, ensuring proper phone etiquette
Assist with office management tasks such as organizing supplies and maintaining cleanliness
Support bookkeeping activities using QuickBooks or similar software
Provide customer support and respond to inquiries promptly and courteously
Manage administrative duties including typing, document preparation, and record keeping
Support personal assistants or medical/dental receptionists with clerical tasks as needed
Qualifications
Proven office or clerical experience with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks and data entry processes
Excellent phone etiquette and customer service skills
Bilingual abilities preferred but not required
Strong computer literacy and typing skills for efficient task completion
Ability to handle multiple priorities in a fast-paced environment
Experience with calendar management, proofreading, filing, and office management is desirable
Previous experience as a receptionist, personal assistant, or medical/dental receptionist is a plus
Demonstrated time management skills with the ability to work independently on assigned tasks
In office hours from Monday – Friday from 9 AM to 5 PM
As-needed support to fill in for the regular staff who need to take time off or need additional support in the office.
This position is ideal for someone with a flexible schedule and is available to work.
